HotCRP

HotCRP is a strong fit for a program committee whose difficult work is assigning, discussing and deciding on research papers. Its tags, conflicts and review controls reward careful configuration. Choose the hosted site class deliberately, and budget technical ownership if running the open-source version yourself.

Independent hosted sites: $7.50 per submission; qualifying sponsored and classroom sites have no direct charge

Honest Limitations

Hosted support depends on site class

Independent hosted sites explicitly receive bug-fix support only. Classroom sites have no support; sponsored arrangements differ.

Reviewers need workflow guidance

The SOSP 2023 artifact-evaluation chairs described confusion between review and discussion pages in their January 2024 retrospective. Provide instructions for the configured current workflow.

Self-hosting adds operating work

The open-source option requires your own web server. Hosting, updates, backups and administration are separate from the software download.

Hidden Costs to Watch

  • ! Submission count determines the Independent hosted invoice, not ticket sales or attendance.
  • ! For 100 chargeable submissions, the published Independent rate gives 100 × $7.50 = $750; confirm currency, tax and submission-count rules.
  • ! Do not apply the Independent price to IEEE-sponsored sites without confirmation.
  • ! Self-hosted infrastructure and staff time are additional operating costs.

HotCRP is built around the scientific program committee. A useful trial should include conflicted reviewers, several tracks, rebuttals and a final decision meeting so chairs can see how their review policy behaves.

The hosted service and the open-source download are two ways to operate the same software family. Sponsorship changes the hosted arrangement; running a server changes who maintains the system.
